Administration & Facilities Coordinator (Temporary, On-Site)

Location: Downtown Seattle, WA

Schedule: Monday–Friday, approximately 8: 00am–5: 00pm

Type: Temporary assignment (anticipated through mid–late March)

About the Role

We are seeking a polished, highly dependable Administration & Facilities Coordinator to support day-to-day operations for a small, professional Seattle office. This role is essential to maintaining a clean, organized, and welcoming workplace while ensuring smooth administrative and facilities support for a hybrid team of technical professionals.

This position is fully on-site and will serve as the primary point of contact for the office — setting the tone for professionalism, hospitality, and operational excellence. The ideal candidate takes pride in their work, notices details others miss, and enjoys creating a well-run environment that helps teams do their best work.

What You’ll Do
  • Oversee daily office operations for a Seattle-based workplace of approximately 15–20 employees
  • Maintain a clean, safe, organized, and professional office environment at all times
  • Serve as the first point of contact for visitors, candidates, partners, and deliveries
  • Manage visitor sign-in procedures and ensure adherence to office protocols
  • Receive, sort, and distribute mail, packages, and deliveries
  • Answer and direct calls on the main office line
  • Order, restock, and organize office supplies, snacks, and beverages
  • Coordinate with building management and external vendors for maintenance and facility needs
  • Manage internal systems related to access badges, parking, and general facilities coordination
  • Support in-office interviews and tours, ensuring a smooth and positive experience
  • Coordinate catering for meetings and events, including setup and cleanup
  • Assist with planning and execution of local office events and seasonal gatherings
  • Create and maintain office process documentation and reference materials
  • Ensure shared spaces (including whiteboards and conference rooms) are reset daily
  • Evaluate and recommend vendors or office improvements as needed
  • Perform physical tasks as required, including standing, bending, reaching, and lifting up to 50 lbs
  • Take on additional administrative or operational tasks as assigned

Required Qualifications
  • 2+ years of experience in an administrative, office coordination, or facilities support role
  • Ability to work full-time, in-office on a consistent schedule
  • Previous exposure to event coordination or office hosting responsibilities
  • Strong proficiency with Microsoft Office (especially calendar management)
  • Comfort learning and using modern workplace tools (e.g., Slack, Confluence, SharePoint)
  • Highly organized with the ability to manage multiple priorities independently
  • Clear, professional written and verbal communication skills
  • Naturally welcoming, service-oriented, and professional in demeanor
  • Extremely reliable, punctual, and accountable
  • Reliable transportation for daily commuting and occasional off-site errands
  • Experience coordinating vendors, facilities services, or basic security/access protocols

Preferred Qualifications
  • Associate’s or Bachelor’s degree
  • Experience working in access-controlled or security-conscious office environments

  • This is a temporary role covering a planned leave

  • You’ll be working with a team of technical, white-collar professionals in a modern, low-ego environment
  • This role reports to an operations leader based outside of Seattle, with periodic in-person visits
