Office Manager & Executive Assistant

Location: San Francisco, CA (On-Site)

Full-Time | $90,000–$140,000 + Equity

About the Opportunity

We’re an early-stage, venture-backed technology company building an AI-native platform that reimagines how modern product teams design and ship software. Founded in 2024, we’ve raised significant early funding and are preparing for rapid growth following strong pilot customer traction.

Our team is expanding quickly, and we’re looking for a highly capable Office Manager & Executive Assistant to serve as the operational anchor of our San Francisco headquarters. This is a high-trust, high-ownership role working directly with founders and senior leadership in a fast-paced startup environment.

The Role

This is a hands-on, in-office position focused on two core areas:
  1. End-to-end ownership of the San Francisco office experience
  2. Executive support to senior leadership

You will ensure the office runs seamlessly while serving as a trusted administrative partner to leadership.

What You’ll Do

Office Operations
  • Own day-to-day operations of the San Francisco headquarters
  • Manage relationships with office vendors (internet, utilities, security, maintenance, supplies)
  • Maintain a fully stocked and organized workspace (kitchen, snacks, supplies)
  • Ensure the office is consistently polished and guest-ready
  • Welcome and host customers, investors, executives, and visitors
  • Oversee office access, security coordination, and visitor management
  • Support onboarding for local team members (workspace setup, equipment coordination, access provisioning)
  • Identify and implement operational improvements across the office

Executive Support

Provide direct support to senior leadership, including:
  • Calendar management and complex scheduling
  • Meeting coordination and preparation
  • Travel planning and logistics
  • Proactive follow-ups and task tracking
  • Light administrative coordination (vendor documentation, internal communications)

What We’re Looking For
  • 2+ years of experience in office management, executive support, operations, hospitality, or administrative roles
  • Experience in fast-paced, high-performance environments (e.g., startups, venture capital, private equity, consulting, hospitality, high-volume events)
  • Strong organizational skills with exceptional follow-through
  • High discretion and sound judgment when handling sensitive information
  • Confident and polished when interacting with senior stakeholders
  • Ability to build and refine operational processes independently
  • Proficiency with modern workplace tools (Google Workspace, Slack, Notion or similar platforms)
  • Excellent written and verbal communication skills
  • Undergraduate degree preferred
